The staffing platform
From the first application to the final invoice.
Zawrix is one system for the whole agency — your website, applications, the talent pool, right-to-work documents, dispatch, timesheets and billing. One record carries the whole way, so there is nothing to re-key and nothing to reconcile.
Flat monthly pricing · Your own domain · No per-seat fees
The problem
Most agencies run on five systems that have never met.
An applicant arrives by WhatsApp. Their permit sits in somebody's phone. Hours live in a spreadsheet, get typed into accounting software on Friday, and the invoice is built by hand from a third place. Every seam is somewhere a worker gets paid wrong, a client gets billed late, or an expired permit goes on site.
Re-keyed four times
The same worker is typed into the ATS, the spreadsheet, the payroll system and the invoice. Four chances to get a name, a rate or a number wrong.
Answers that take an hour
"Who is short tomorrow?" and "what did we make on that account?" are questions a system should answer instantly, not ones somebody rebuilds in a spreadsheet.
Risk nobody is watching
Work permits expire. Tickets lapse. If nothing is tracking the dates, the first time you hear about it is from a client's auditor.
End to end
One record, carried the whole way.
Not a suite of products that integrate. One system, where the thing created at the start is the same thing invoiced at the end.
The worker portal runs alongside it, so people can see their own shifts and documents without ringing the office.
Dispatch
The whole morning on one screen.
Every shift for a day, grouped by start time rather than by client, because at twenty to six the work is ordered by who starts at seven. Each card carries the crew, their phone numbers as one tap, and both numbers that matter: how many seats are filled, and how many of those people have actually said yes.
- Short shifts go amber, empty ones go red — before anyone asks
- Confirm, mark worked, record a no-show without leaving the board
- Refuses a double booking before the crew leaves, naming the clash
- Built to be used one-handed on a phone in a car park
Matching
It tells you why, not just who.
Ask who can cover a shift and you get a ranked answer with its reasoning on every row — worked at this site before, same city, has the ticket, owns a vehicle. The people who cannot are still listed, greyed, with the reason in red, because a coordinator forty minutes from a shortfall is entitled to know that the only person left needs boots.
- Ranked against what the site actually requires
- Already booked elsewhere that day is shown, not hidden
- Every refusal names the person and the reason
Talent pool
Everyone you could call, and when you last did.
Not a filing cabinet — a phone list that knows who is free, who drives, who has the ticket and who was already tried this morning. Logging the outcome of a call is one tap, because a call log that takes four taps does not get filled in.
- Filter by city, availability, licence, vehicle, right to work
- Resumes attached and readable, not stuck in an inbox
- One profile per person: documents, history, every call
The regulated parts
Built for the half of the job that carries risk.
Placing people is the easy half. The other half is documents, expiry dates, tax numbers and the rules about what an employer of record may and may not do with somebody's identity. Most systems leave that to you and a folder of scans.
Right to work, with the dates watched
Permits, study permits and PR cards held against the worker, each with its expiry. The system warns before one lapses rather than after, and will not let a worker with expired authorisation be dispatched.
Identity numbers in a vault
Social Insurance Numbers are encrypted, never shown on the public site, never sent to a client, and every single read is written to an access log with a name against it.
Margin that includes the burden
Bill rate minus pay rate is not your margin. CPP, EI, EHT and vacation are itemised, and workplace-insurance rating is set per client — because an agency is rated on the client's industry, not its own.
The letter a client's auditor asks for
When an HR department asks for copies of everyone's documents, the right answer is usually a signed work-eligibility attestation, not a folder of passports. Zawrix writes it, on your letterhead, in your name.
Pay statements delivered lawfully
Electronic pay statements are only permitted where the worker can actually make a copy at the workplace. Zawrix records that choice per worker and defaults site-based staff to paper rather than assuming.
A record that holds up
Who was placed where, who verified which document and when, who changed a rate and who opened an account. Not because anyone enjoys audit trails, but because the day you need one, you need it complete.
Isolation
Your agency's data is not in a shared table.
Most multi-tenant software puts every customer in the same tables and adds a column to tell them apart. One missing clause in one query and an agency reads somebody else's roster. Zawrix does not work that way.
A database schema per agency
Separation at the database, not in application logic. A query that does not say which agency it is for fails outright rather than quietly falling back to a default.
Proven on every change
An automated isolation suite runs before anything ships, and its entire job is to try to read one agency's data as another. It is the part of the system treated as able to end the company if it breaks.
Your names, your certificates
Office app, worker portal and website on your own hostnames, each with its own certificate, issued on the first request. No shared vendor domain in front of your clients.
Support access leaves a mark
Nobody at Zawrix opens your account casually. Doing it requires a stated reason and an expiry, and it is written to a log — so the answer to "who can see our data" is a record rather than a reassurance.
Pricing
A flat monthly figure. Published.
Priced by the size of the agency, not by how many people you let use it. Hiring a second coordinator or registering another fifty workers does not change the bill, and you do not have to sit through a call to find out what it costs.

Where it came from
Written inside a working agency, not in a boardroom.
Zawrix started as the system a licensed temporary help agency built to run itself, because nothing on the market did the whole job and the parts that existed did not speak to each other. Every screen in it was built for a shift that had to be filled that morning.
That is the entire claim. We are not going to tell you how many thousands of agencies use it or quote a percentage we made up — we would rather show you the product and let you decide. Ask for the demo and you will be shown the real thing, with real data in it, including the parts that are still rough.
Questions
The things people actually ask.
Is Zawrix an ATS or a back office system?
Both, and the point is that it is one system. The record created when somebody applies is the same record that gets dispatched to a shift, whose hours become a timesheet, which becomes a line on an invoice. Nothing is re-keyed and there is nothing to reconcile.
Does Zawrix run payroll?
No, and that is deliberate. Tax remittance and T4 or ROE generation is a regulated domain where being 99% right is still a compliance failure. Zawrix tracks hours, burden and margin, and hands clean figures to the payroll system or accountant you already use. We would rather integrate with something correct than build something approximate.
Can we use our own domain?
Yes. Your office app, your worker portal and your public website all run on your own hostnames with their own certificates. Adding a domain takes effect on the first request — no deploy, no support ticket, no waiting.
How is our data kept separate from other agencies?
Every agency gets its own database schema rather than a shared table with a tenant column. A query that does not name an agency fails rather than falling back to anything, and the separation is covered by an automated isolation suite that runs on every change.
Do you charge per seat or per worker?
No. Pricing is a flat monthly figure by agency size. Hiring a second coordinator or registering another fifty workers does not change your bill. If you outgrow a plan we will tell you, rather than quietly metering you.
How long does it take to get started?
An agency is provisioned in minutes with its own schema, hostnames and login. Bringing your existing worker and client records across is the part that takes real time, and we do that with you rather than handing you a spreadsheet template.
What happens to our data if we leave?
You export it and we delete ours. It is your business record, and a platform that makes leaving difficult is telling you something about how confident it is that you will want to stay.
See it
Bring us a morning that went badly.
The best demo is your own worst Tuesday. Tell us the orders, the shortfalls and the client who rang at six, and we will show you what the board would have looked like.
Usually 30 minutes. No slides unless you want them.
